SMALL WORKS ADMINISTRATOR

Main Purpose:

Based at Head Office, this role will be part time but potentially will lead to full time to support the Small Works Manager and Site teams by providing effective administration, dealing with internal and external enquirers and ensuring the company procedures and guidelines are adhered to at all times. When not working for the small works Team duties are to be allocated by Head of HR or Lead Administrator.

Responsibilities:

Duties as an administrator will include:

  • Photo coping, Scanning Documents, Encapsulating Documents
  • Acting as the small works team focal point for all administration matters.
  • Faxes (sending & sorting for distribution and copying).
  • Maintain general filing, Site Engineers / Technicians filing and archive various paper work.
  • Ordering and monitoring of team stationery.
  • Monitor of Payroll, Site Holidays/Absence records and liaison with HR department
  • Monitor of computer systems and liaison with IT department.
  • Receive and handle incoming calls.
  • Typing (Letters, faxes, memos, e-mails, meeting minutes and reports etc.
  • Other job/task related duties will include:
  • Provide guidance and support to others in order to resolve queries/issues using appropriate processes, tools, and systems
  • Provide input into process changes and required training for all aspects of the small works team.
  • Positively contribute to and participate in processes affecting small works projects when required.
  • Support continuous improvement to deliver high levels of productivity, efficiency and accuracy
  • Maintain a sound knowledge of the small works team capabilities and services
  • Liaise with customers in a professional manner
  • Preparing information associated invoicing and contracts
  • Liaise with accounts regarding invoice payments and maintain invoice register for the small works team
  • Maintain accurate recording process, continually seek to improve the way in which the role operates within the business to achieve its objectives
